Specialist Payment Policies
1. Introduction
By registering as a Specialist with Still-Mom (“the Website”), you (“Specialist”) agree to comply with the following payment terms and conditions. These policies apply to all payments made through the Still-Mom platform, which is operated on WordPress using the Amelia booking plugin and integrated with Stripe for secure payment processing.
2. Payment Guarantee Conditions for Meetings
Still-Mom serves as a platform to connect individuals seeking support services with qualified Specialists, and as a payment intermediary to enable secure payments from Clients to Specialists.
To ensure successful collection and transfer of payment, the following conditions must be met:
The meeting details published by the Specialist (subject, time, rate, and location) must be accurate.
Before the first meeting, Clients must have a valid payment method (credit/debit card or PayPal) on file. This applies to both new and existing Clients.
The Specialist must confirm the Meeting in the Still-Mom system or apply a cancellation fee within three (3) days of the meeting. Otherwise, the payment cannot be processed unless approved manually by the Client. No Meetings may be submitted more than 31 days after the meeting date.
Specialists must not request or collect payment directly from the Client under any circumstances.
Any cancellation fees must align with the cancellation policy selected and displayed on the platform.
If any of the above conditions are not met and Still-Mom is unable to collect funds from the Client, payment to the Specialist is not guaranteed.
3. Payment Timing and Delivery
Still-Mom uses Stripe to securely process payments. All bookings and payments are managed via the Amelia plugin on a WordPress-based platform.
Once a Client successfully pays online for a service, Still-Mom is obligated to remit the associated payment to the Specialist.
Payout options (bank transfer or PayPal) can be configured via the Specialist’s account settings. Available methods vary by country.
Funds are typically transferred two (2) business days after the meeting is submitted. If the second day falls on a weekend or bank holiday, payment is processed on the next working day.
The exact timing of funds appearing in the Specialist’s account depends on the bank or PayPal and is outside of Still-Mom’s control.
Note: Specialists are responsible for ensuring their payout details are up to date.
4. Direct Payments from Clients
If a Specialist accepts direct payment outside of the Still-Mom system, Still-Mom reserves the right to issue an invoice for the applicable platform commission.
Invoices are generated monthly and accessible under Account > Invoices.
Invoices must be paid within 30 days of issuance. Payment methods will be specified in the invoice and accompanying email.
If the invoice is not paid by the due date:
A first reminder will be sent via email.
A second reminder will follow after 15 days.
If unpaid after another 15 days, the Specialist’s account will be suspended.
A physical copy of the invoice can be requested for a €5.00 processing fee.
5. Commission Structure & Public Pricing
Still-Mom charges a variable commission based on accumulated teaching hours with Clients.
The commission is added and rounded on top of the Specialist’s hourly rate to form the public price displayed to Clients.
Example: If a Specialist sets €50/hour and the commission is 20%, the Client will see a price of €60.
The platform remains free to use for Specialists; commissions are only applied upon successful booking.
6. Adjusting Your Hourly Rate
Specialists can freely adjust their default hourly rate, which affects new Clients.
To update the rate for existing Clients, a rate-change request must be submitted via the appropriate form on the website.
7. Cancellation Policies
Specialists must choose between two standard cancellation policies:
Flexible Policy:
Full refund if canceled at least 1 day before the session.
50% refund if canceled within 24 hours.
No refund if the Client does not attend.
Strict Policy:
Full refund if canceled at least 3 days before the session.
50% refund if canceled after that but before the session.
No refund for no-shows.
All bookings will display the applicable cancellation policy. In case of disputes, Still-Mom will mediate and has final authority.
A cancellation is only official when the Client cancels via:
Account > Orders > Cancel Reservation
.Clients can view and cancel bookings anytime. If a Specialist cancels, the Client will receive a full refund.
8. Dispute Resolution & Liability
Still-Mom functions as a marketplace; Specialists are independent contractors responsible for their services and methods.
Any disputes regarding bookings or services must be reported within 24 hours of the meeting.
Still-Mom will mediate disputes and both parties agree to abide by its final decisions. This may include issuing refunds or applying charges to either party.
Still-Mom’s total liability will never exceed the amount paid by the Client via the platform.
Specialists’ liability for damages will be limited to the value of one booked meeting.
It is the Specialist’s responsibility to confirm all meeting details with the Client in advance.
